Privacy Policy

Rentfrow Web Solutions, LLC, doing business as My Equipment Log ("we," "us," or "our"), provides equipment and maintenance tracking tools, including the website at myequipmentlog.com (the "Site") and, when available, our mobile and web applications (together with the Site, the "Service"). This policy explains what information we collect, how we use it, and the choices you have. We try to keep it in plain English — if anything is unclear, email us at legal@myequipmentlog.com.

The short version: we collect only what we need to run the Service, we don't sell your data, and your equipment records belong to you.

Information we collect

Information you give us

Waitlist and newsletter signups. If you sign up to be notified at launch, we collect your email address and whether you opted in to our newsletter, The Log Book.
Account information. When the app launches, creating an account will require an email address and may include a name and password (or sign-in via a provider like Apple).
Your equipment records. Content you add to the app — equipment details, serial numbers, photos, documents, purchase records, service logs, notes, and reminders — is stored so we can provide the Service. This content is yours.
Ace conversations. If you chat with Ace, our AI assistant, your messages and relevant equipment records are processed to generate responses (see "AI features" below).
Correspondence. If you email us, we keep the message so we can respond and improve support.

Information collected automatically

Server logs. Like most websites, our hosting providers automatically log basic technical information such as IP address, browser type, and pages requested. We use this for security and to keep the Service running.
App diagnostics. The app may collect crash reports and basic usage diagnostics to help us fix bugs.

The Site does not currently use advertising trackers or third-party analytics cookies. If that changes, we will update this policy first.

How we use your information

To email you about the launch and, if you opted in, send The Log Book newsletter
To respond to your questions and provide support
To send service-related notices such as reminders you set, receipts, and important account or policy updates
To protect the Service against abuse, fraud, and security threats
To comply with legal obligations

We do not sell your personal information, and we do not share it with third parties for their own advertising.

AI features

Ace, our AI assistant, is powered by OpenAI's API. When you use Ace, your messages and the equipment records needed to answer your question are sent to OpenAI for processing. Under OpenAI's API data usage policy, data submitted through the API is not used to train their models and is retained only briefly for abuse and safety monitoring. Ace's suggestions are informational — always confirm safety-critical maintenance against your equipment's manual or a qualified professional.

Service providers

We rely on a small number of vendors to run the Service. They process data on our behalf, only as needed to provide their service to us:

Vercel — website hosting
Supabase — database and backend infrastructure (including waitlist storage)
Resend — email delivery
Google Fonts — font delivery on the Site (Google receives your IP address when fonts load)
Apple — App Store distribution and in-app purchase processing (we never see your full payment details)
OpenAI — powering Ace, as described above

When we share information

We share personal information only:

With the service providers listed above
If required by law, legal process, or to protect the rights, safety, or property of our users, the public, or us
In connection with a merger, acquisition, or sale of assets — in which case this policy will continue to apply to your data, and we will notify you of any change in ownership
With your consent

Email choices

Every newsletter and marketing email includes an unsubscribe link, and you can opt out at any time. If you joined the waitlist without opting into the newsletter, we will only email you about the launch. We may still send essential service emails (like password resets or policy changes) to account holders.

Data retention and deletion

We keep waitlist emails until launch outreach is complete or you unsubscribe. Account data and equipment records are kept while your account is active. You can request deletion of your data at any time by emailing legal@myequipmentlog.com, and the app will include account-deletion tools. We may retain limited records where required by law.

Security

We use industry-standard measures to protect your data, including encryption in transit and access controls on our infrastructure. No system is perfectly secure, but we work to keep your information safe and will notify you as required by law if a breach affects your personal information.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. To exercise any of these rights, email legal@myequipmentlog.com — we will respond to every request regardless of where you live.

Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.

International users

We are based in the United States and process data on servers located in the United States. If you use the Service from elsewhere, your information will be transferred to and processed in the U.S.

Changes to this policy

We may update this policy as the Service evolves. If we make material changes, we will update the effective date above and, where appropriate, notify you by email or in the app. Continued use of the Service after changes take effect means you accept the updated policy.
